The problem

Equipment changes hands. Accountability shouldn't.

Radios, scanners, tools, keys, tablets and shared devices move between people every day. CA Flow creates a clear chain of custody from issue to return.

?

Who has it?

See the person currently responsible for an asset without asking around or searching a sign-out sheet.

↗

Where did it go?

Follow transfers and custody changes with a permanent transaction history.

✓

Did it come back?

Reconcile returns and immediately see what remains outstanding.

How it works

Badge. Scan. Confirm. Done.

Accountability only works when the process is easy enough for people to use consistently.

STEP 01

Identify

Scan a badge or select the person receiving equipment.

STEP 02

Scan

Scan one asset, several assets or an equipment kit.

STEP 03

Establish Custody

CA Flow records who, what, when and where.

STEP 04

Return

Scan items back in and reconcile anything outstanding.

One simple question

Who has it right now?

Search by person or asset and get the answer. Managers can see current custody without occupying a scanning station.

CA Flow isn't trying to replace your ERP, purchasing system or maintenance platform. It solves the operational problem of responsibility while equipment is in someone's hands.

Why CA Flow Cloud

Less time chasing equipment. More confidence in every handoff.

When equipment moves between employees, shifts, departments, or volunteers, accountability can get lost. CA Flow helps make the handoff visible, repeatable, and easy to review.

CA Flow focuses on equipment custody and handoffs; it does not replace an ERP, purchasing system, or maintenance platform.

01 / VISIBILITY

Know who's responsible

Look up an asset and see its current recorded custodian instead of tracking down a paper sign-out sheet or sending messages.

02 / LESS ADMIN

Replace manual logs

Record issue, transfer, and return activity in one consistent workflow rather than maintaining scattered spreadsheets and handwritten lists.

03 / ACCOUNTABILITY

Create a clear custody trail

Keep a transaction history showing who received an item, when custody changed, and when it was checked back in.

04 / SHIFT HANDOFFS

Simplify daily reconciliation

See what's still out at the end of a shift, event, or workday so teams can follow up on exceptions sooner.

05 / FLEXIBILITY

Track the items that matter

From radios and keys to scanners, tools, tablets, and equipment kits, use the same custody process across different teams.

06 / GROWTH

Keep a consistent process

Use shared rules and visibility as your operation expands across more employees, departments, and checkout locations.

Understanding scanning stations

What is a CA Flow station?

A station is an operational checkout and check-in point where authorized personnel use CA Flow to record equipment moving into or out of someone's custody.

Think of it as your digital equipment counter.

Instead of signing a clipboard, someone identifies the person receiving equipment, scans the item, and confirms the transaction. CA Flow records the custody event so a manager can review it later.

One scanning station is included with each location subscription. Additional operational stations are $49/month each.

1

Set up the point of issue

Use a designated checkout/check-in endpoint at the place where your team hands out or receives items.

2

Identify, scan, and confirm

The operator identifies the employee or volunteer and scans equipment to record checkout, return, or transfer activity.

3

Managers use the portal

Authorized managers can search assets, review current custody, and investigate outstanding items without occupying a scanning station.

4

Add points where needed

Place additional stations where equipment is distributed or collected. A station is a licensed operational endpoint, not a fee for every employee.

How teams use CA Flow

From the first checkout to the last return.

Everyday equipment handoffs become easier to document, review and reconcile.

Manufacturing shift change

Keep production radios accounted for

A supervisor issues radios at shift start. Each scan connects a device with the person responsible. At shift change, returns and handoffs can be reviewed.

Church volunteer teams

Manage microphones and cameras

Hand out wireless microphones, transmitters, cameras or keys to volunteers. Track who received them and reconcile items after services or events.

Warehouse operations

Know who has each scanner

Issue handheld scanners to team members, keep a traceable custody history and spot equipment still outstanding at the end of a shift.

Hotel operations

Bring structure to key handoffs

Document the custody of keys or shared devices as they move between designated employees and departments.

Construction and maintenance

Checkout tools and equipment kits

Associate an individual or a group of assets with the person receiving them and follow responsibility through transfer and return.

Security operations

Improve radio and key accountability

Use scanning stations at security desks to record issuance, returns and handoffs with a history managers can review.

Built to cross industries

No per-user fees. No per-asset fees. No complicated pricing tiers.
